By activating the Smart Check-in, the guest has the possibility to send you the completed registration form PRIOR to his/her arrival.
You will receive the registration forms at 6:00 PM the day before arrival. In addition, you will receive the registration forms at 6:00 PM on the day the guest triggers Smart Check-in, even if the actual date of arrival is further away. In this instance, we recommend that you transfer the guest’s data to your PMS and leave a note/trace that this is a Smarthotel guest. You can add a small note to the guests’ profile when preparing the registration form so that all colleagues are informed that the arriving guest is a Smarthotel user.
Please note: If the guest completes the Smart Check-in later than 18:00 on the day prior to arrival, the registration form will be sent to you ad hoc by email.
2. Setup - Registration Form
To insert your own logo:
In the CMC, click ‘My Hotels’ > Select ‘Hotel’ > ‘Edit’. Click on the 4th tab and enter your logo in the field provided.
You have the option to use the Smarthotel Registration form with your logo or, alternatively, to use your own registration form and simply copy the guest’s data from the email into your PMS.
Please note: it is important that you do not ask the guest to fill in the registration form once again, as they will have already provided their data by completing the Smart Check-in and you will have received the information from us via email.
IMPORTANT: In every case, please remember the signature of the guest (if required by law).
